1. Introduction

HiringManager.in ("we", "us", "HiringManager") operates a hiring platform for the Indian retail industry. This policy explains what data we collect, why we collect it, and your rights over it. It applies to anyone using the website, mobile experience, or related services.

We comply with applicable Indian data protection laws, including the Digital Personal Data Protection Act, 2023 ("DPDP").

2. What we collect

Account & profile data

• Candidates: name, email, phone number, profile photo, city/state/pincode, work experience, education, certifications, skills, languages, preferred role.
• Recruiters: name, company name, business email, business phone, office address, retail category, company size, company verification document (any one of: GST Certificate, Shop & Establishment certificate, Udyam Registration, or Company PAN).

Authentication data

We use Google Sign-In via Firebase Authentication. We receive your name, email address, and profile photo from Google. We do not receive or store your Google password.

Usage data

Pages viewed, jobs applied to or posted, applications submitted, search filters used, device type, browser, IP address, and approximate location. We use this to operate the platform and improve matching.

Payment data

Recruiter credit purchases are processed by Razorpay. We do not store your card number, CVV, or UPI PIN. We receive only a transaction ID, amount, and payment status. Refer to Razorpay's privacy policy for how they handle payment data.

Uploaded files

Profile photos and verification documents are stored in Firebase Storage. Verification documents are accessed only by our verification team and are never shown to candidates or other users.

3. How we use it

• To create and operate your account.
• To match candidates with relevant job listings.
• To allow employers to view candidate profiles and applications.
• To verify employer businesses and protect candidates from fraudulent listings.
• To send transactional notifications (application updates, account events) via WhatsApp and in-app.
• To process credit purchases.
• To detect abuse, fraud, and security threats.
• To comply with legal obligations.

4. Who we share with

Verified employers

When you apply for a job as a candidate, the employer who posted that listing can see your complete profile, including contact information, work history, education, and skills. They use this to evaluate your application.

Service providers

We share limited data with the following processors, under contractual confidentiality obligations:

• Google Firebase — authentication, database, storage, hosting.
• Razorpay — payment processing.
• Cloudflare — payment verification, security, content delivery.
• WhatsApp Business API providers — sending application notifications.

Legal compliance

We disclose data if required by law, court order, or to protect the rights, property, or safety of HiringManager, our users, or the public.

Business transfers

If HiringManager is acquired, merged, or sells assets, your data may transfer to the acquirer. We will notify you before any change.

We do not sell your personal data.

5. Storage & security

Data is stored on Google Cloud / Firebase servers, primarily in Asia regions where available. We use encryption in transit (HTTPS) and at rest. Access to production systems is restricted to authorised personnel.

No system is perfectly secure. If we become aware of a breach affecting your data, we will notify you and the relevant authorities as required by law.

6. Retention

• Active accounts: data retained while your account is active.
• Closed accounts: data deleted within 90 days of account closure, except where retention is required by law (for example, payment records under tax law are kept for 8 years).
• Job listings: archived after 45 days, retained in our records for analytics and dispute resolution for an additional 12 months.
• Applications: retained for the life of the candidate account, plus 12 months.

7. Your rights

Under DPDP and other applicable laws, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data.
• Delete your data, subject to legal retention requirements.
• Withdraw consent at any time.
• Lodge a complaint with the Data Protection Board of India.

8. Cookies

We use a small number of cookies and similar technologies:

• Authentication — to keep you signed in.
• Preferences — to remember filters and settings.
• Analytics — anonymous usage analytics to understand and improve the platform.

You can disable cookies in your browser settings, but some features may stop working.

9. Children

HiringManager is for users aged 18 and above. We do not knowingly collect data from anyone under 18. If you believe a minor has created an account, contact us and we will remove it.

10. Changes

We may update this policy from time to time. Material changes will be notified in-app. The latest version is always available at this URL.
